Internship – important information for you as a mentor

The internship period is the part of the program that is based at an external company, and out of a total of 80 weeks the internship period is 24 weeks divided into two periods.
The intern is not to be exchanged for a regular employee, hence you as the host company does not have the same obligations, although we do recommend that you make a written agreement with the intern, which can include the following:
- That it’s an internship and not an employment
- Time period for the internship
- Working hours during the internship
- Immaterial rights

The purpose of the first internship period is that the student should apply and deepen what they have learned during their studies at a company within the industry. The work should be performed with the guidance of a mentor from the host company.
The goal for the first internship period is that the student should have participated in the daily work at a company within the industry, acquired knowledge about the different positions/roles available after their education, an understanding of what is expected in the specific job roles as well as an insight to a company’s organization and culture.

The purpose of the second internship period is that the student should apply and deepen what they have learned during their studies at a company within the industry. The work should be performed with the guidance of a mentor from the host company.
The goal for the second internship period is that the student should have participated in the daily work at a company within the industry, an understanding of the work flow within the organization, know what to expect from the industry and what is the economical impact of their working hours.

As the mentor you should ensure that the intern will work tasks that is equivalent to the goal of the course. It is really important that mentor gives the support and guidance needed for the intern to succeed and therefore it’s crucial that you are present during the internship period and available for questions, etc. Once planning the internship, it is of great value to incorporate the intern’s ambitions and goals as all the students at Brobygrafiska have opportunity to influence the courses they take. The intern is expected to follow the host company’s working hours, routines and regulations.
After the internship period you as a mentor is asked to give recommendations to the school for grading based on the intern’s performance. You will receive more information about this via e-mail.

Scheduled mentor time means that the mentor needs to be present and available for the intern’s needs and support. If you are away during the time of the internship it’s important that there is someone else in the staff the intern can turn to for guidance and support.

The Swedish National Agency for Higher Vocational Education provides all students with insurance while studying. For those doing their internship abroad they are covered with an insurance called Student UT. The insurance includes both personal injury and travel protection as well as third party liability and legal expenses. Please contact Evelina Nilsson for more information if you have questions.

Our goal is to visit the host company while the intern is there, however this is sometimes not always possible due to travel distances etc. Should we wish to visit we will reach out to you as the mentor to schedule this at a time that is convenient for your business.

1. Set clear expectations between both you as the mentor and host company as well as the intern.
2. Kindly provide, even before the first day, “house-keeping” matters such as usage of computer, working hours and lunch, etc.
3. It’s great if there are a few extra projects/tasks available that the intern can turn to if there is a slow period. These projects/tasks can be both real or fictitious, perhaps something you have thought about many times, but haven’t had the time to do yet.

The internship is graded based on the following:
-Job description (handed in by the student)
-Internship report (handed in by the student after the internship)

Key points in grading the internship are:
-Internship presentation (given by the student once back at school)
-Evaluation of the internship by the mentor, which is to be performed together with the intern towards the end of the internship period. You will receive an e-mail about this once it’s time.
Apart from this the student also have a weekly log where they answer different questions towards the final internship report.

If the intern is out sick for more than one week the intern need to not only contact you as the mentor, but also contact the school. It is really important that you contact us should anything occur or if there are any concerns at all, we always look forward to hearing from you!
